Off-platform clients

Goal

The Clients page (menu My clients) is your book of off-platform clients: the ones who book you by phone, by email or in person. You record their details and their manual bookings, which join your schedule alongside your etkivent requests and block the days concerned in your calendar.

Steps

1. Open My clients in the menu.
2. Click New client: fill in the Name, then, if you wish, the Email (optional), the Phone (optional) and Private notes (optional). Click Save.
3. Each client shows as a card: contact details, number of bookings, an overview of their bookings and, if there is one, their Next booking.
4. Click Book on a client's card: the New manual booking form opens with the client already selected. Enter the Date, then, if needed, the Time (optional), the Package (optional) — its price fills in the price when it is empty —, the Title (optional), the price and Private notes (optional). Click Save.
5. Find these bookings in My bookings, Schedule view. Edit lets you change their Status (Confirmed, Done, Cancelled) or Delete them.
6. Use Search clients to find a client by name, email or phone.
7. Edit on a client's card updates their details; Delete client removes them from your book.

Frequently asked questions

Is my client notified when I create a booking? No. This book is for your use only: no message is sent to your off-platform clients.

Does a manual booking make me unavailable on etkivent? Yes: a confirmed booking makes that day unavailable to organizers on etkivent. Set it to Cancelled or delete it to free the day.

What happens to the bookings of a deleted client? They stay in your schedule.

Can organizers see my clients? No. Your clients, their details and your private notes only show in your own space.

How do I enter a phone number, or a foreign one? The phone field opens on the French country code (🇫🇷 +33): type the number as you read it, "06 12 34 56 78" becomes "6 12 34 56 78", grouped automatically; the greyed template shows the digits left to type. For another country, click the flag and search for it by name or code, or type "+32…" directly: the country follows. A number pasted with its code ("+41…", "0041…") is recognised too.
