Organiser
A step in detail
Organize a step's tasks — adding them, statuses, who handles them, requests to providers, quotes received and comparison.

Goal
Each step of an event (ceremony, reception, decoration…) has its own page. There you set its details and follow its tasks on a six-column board, one per status: To do, In progress, Request sent, Quote signed, Service delivered and Cancelled. It is also where you decide who handles each task, reach out to providers and deal with their quotes.
Steps
- Open the event, go to the Steps tab, then click a step. You can also get there from the Upcoming deadlines on your dashboard or from a request's details.
- The pencil next to the title (Edit the step) changes its title, description and emoji. The Budget, Date and time, Duration and Venue cards can be edited with one click; while empty, they read To be defined. Export as PDF downloads the step's sheet; More export formats offers Checklist only.
- To create a task, click Add a task at the bottom of the To do column, type its title, then Save.
- To change a task's status, drag it to another column (on a computer) or open its ⋮ menu and pick a column under Move to. The same menu offers Edit task (title, description, emoji) and Delete.
- In the ⋮ menu, Organize the task opens a three-part flow: Who takes care of it? (Myself, A platform provider, An external provider from your address book, or A relative or friend), Where and when, then Amount and payment (planned price, payments already made, amount left to pay). Every part can be skipped; click Save at the end.
- With A platform provider, filter by City and Category, tick one provider — or up to three to compare their quotes —, add a Message to the provider, then Send the request. The request goes out right away; Ask another provider adds one, Cancel the request withdraws it.
- On the task card, badges track the request (the provider's name and Pending response or Accepted), the quote received and unread messages. Click the quote badge, or View quote in the menu, then choose Accept quote or Decline quote. Conversation opens the exchange with the provider.
- As soon as two quotes have arrived for the same task, Compare quotes shows them side by side: total incl. and excl. VAT, content, terms, response time, rating and status. Select this quote accepts it and declines the others; their providers are notified.
Frequently asked questions
Does a task's status change by itself when I send a request? No: you move the task from one column to another yourself. The request and quote tracking shows up as badges on the card.
How many providers can I ask for the same task? Up to three requests in progress, each to a different provider. To send another one, select a quote or cancel a request.
A provider is closed on my task's date: can I still contact them? Yes. If the task has a date, the chosen provider's availability is shown for information only; they remain free to accept.
I'm an event planner: what's different? Who takes care of it? offers In-house (me or my team), with one of your resources or a package from your catalog, A subcontractor from my book and Delegated (client or third party). When looking for a provider, Where to look lets you choose between the Directory and My partners. On a client's event, the amount is entered as Cost (what the task costs you) and Price billed to the client, so you can see your margin.
Can a deleted task be recovered? No: it disappears from the step along with its tracking. You are asked to confirm first.
