Your client's space

Goal

Your client can follow their events from their own account: progress, program, guests, your quotes and invoices. You also submit choices for them to approve (menu, venue, decoration…): their answer and comment come back to you, with a notification. They change nothing — the organisation stays yours.

Steps

1. Open the client's card (My clients), Client access card, and click Invite the client.
2. Copy the link and send it yourself (message, text…): etkivent sends no email. It is valid for 14 days and shown only once; New link creates another one, which replaces the previous one.
3. Your client opens the link, creates their account (Organizer profile) or signs in, then accepts: you are notified, and the card shows since when they have access.
4. On an event page, Client space section, click Request an approval: the choice, some details, and the related task if needed. Your client is notified.
5. Follow the answers in the same place: Approved or Rejected, with their comment. A request still pending can be withdrawn.
6. Your sent quotes show up on their side: they accept or decline them themselves, and you are notified (see "Quotes and invoices to your clients").
7. To write to them, click Message the client (on their card, Client access card, or in an event's Client space section). The conversation then lives in your Messages; they are notified by a push notification, never by email.

Frequently asked questions

What exactly does my client see? The event's title, date, venue and status; steps and tasks with their progress; guests and their replies; your sent quotes (never drafts) and their invoices; your approval requests. They see neither your purchase prices, nor your margins, nor your notes, nor your exchanges with providers.

How do I cut access? On the client's card, Remove access: they no longer see their events. You can invite them again later. Deleting the client from your book also removes their access.

What happens to the conversation if I remove access? You keep it read-only in your messages; your client no longer sees it and nobody can write in it. If they are invited again with the same account, the conversation resumes.

The "Request an approval" button is greyed out? Your client hasn't accepted the invitation yet: nobody could answer. Invite them from their card.
